How to Connect your QuickBooks Online Company to the GATHER Platform

A step-by-step guide to connecting your QuickBooks Online company to GATHER.nexus so you can use your company data across your multi-entity workflows.

1) Navigate to Company Setup

From your GATHER.nexus dashboard, go to Multi-Entity & Display > Company.


2) Start the Connection

  • Click Add Company.

  • Choose Connect to QuickBooks.


3) Authorise in QuickBooks Online

  • You’ll be redirected to the QuickBooks Online secure login page.

  • Sign in to your QuickBooks Online account.

  • Select the organisation you want to connect.

  • Click Next, then click Connect to authorise the connection.

GATHER.nexus uses an OAuth connection, so your QuickBooks Online credentials are not stored in GATHER.nexus.


4) Sync Your Company Data

Once authorised, you’ll be redirected back to GATHER.nexus.

  • Your QuickBooks Online organisation will appear as an Active Company.

  • The first data sync will begin automatically.

  • By default, GATHER.nexus imports three years of financial history.

  • You can extend the history to five years using the Sync/Refresh control next to the connected company.


5) Company Currency

When the QuickBooks Online organisation is connected, its base currency is read automatically from QuickBooks Online.


6) Set Up the Company as a Subsidiary

If the connected Company is a subsidiary within your group:

  1. Return to the Company screen.

  2. Find the connected company and click the Edit icon.

  3. Set the Subsidiary Company toggle to Yes.

  4. The Subsidiary details section will appear.

  5. Select how the company joined the group:

    • Acquired an existing company, or

    • Formed a new entity.

For Acquired an existing company, enter the required acquisition and ownership information, including the Holding Company, Acquisition Date, Shareholding Percentage, and Purchase Consideration.

For Formed a new entity, enter the required information, including the Holding Company, Incorporation Date, and Parent's Ownership %.

The Holding Company dropdown lists companies connected to the platform. A disconnected company is identified with a status tag, and circular ownership is prevented.

The ownership information recorded on the Company screen is used by GATHER.nexus when calculating the group's consolidation.


6) Complete the Connection

Once connected, the company is available within GATHER.nexus and can be included in a group.

If the company is being used as a subsidiary for consolidation, complete the subsidiary setup before proceeding with the group's consolidation configuration.
