AI-Powered Account Mapping

Overview

AI-Powered Account Mapping in GATHER.nexus uses Microsoft Azure AI to suggest mappings between your company's Chart of Accounts (COA) and your Group Reporting Template (GRT).

The mapping screen also includes the default consolidation accounts that GATHER.nexus adds automatically to the GRT.

These accounts are identified with a Platform generated tag. They are locked, which means they cannot be hidden or deleted. They are maintained by the platform because they are used by the consolidation calculations.


Before You Begin

Make sure your:

  • GRT has been created and configured.

  • Companies are connected to GATHER.nexus.

  • Chart of Accounts is available for mapping.

  • AI mapping credits are available.


How AutoMap Works

GATHER.nexus uses Microsoft Azure AI to generate suggested mappings for applicable source accounts.

The suggestions use the account information available to the platform and the structure of the GRT.

You can review the suggested mappings before applying them.


1) Access Account Mapping

  1. From your GATHER.nexus dashboard, go to Group Financial Reporting > Group Reporting Template.

  2. Select the relevant GRT.

  3. Open Mapping Status.

  4. Click Setup Group Accounts to open the mapping screen.


2) Launch AutoMap

  1. Click AutoMap with AI.

  2. The platform generates suggested mappings for applicable source accounts.


3) Review Suggested Mappings

Review the suggested mappings before applying them.

You can change an AI-generated suggestion using manual mapping where required.

Review the source account and the suggested GRT account before applying the mapping.


4) Review the AI Rationale

Where available, review the information provided with an AI suggestion to understand why the account was recommended.

You can override an AI-generated suggestion using manual mapping.


5) Apply the Mappings

After reviewing the suggestions:

  1. Apply the mappings you want to use.

  2. Review the mapped and unmapped accounts.

  3. Manually map any remaining source accounts where required.

Mapping is optional. You can leave source accounts unmapped.


Platform-Generated Consolidation Accounts

The GRT automatically includes the default accounts required for consolidation.

These accounts:

  • Display a Platform generated tag.

  • Are locked and cannot be hidden or deleted.

  • Are populated by GATHER.nexus through the consolidation process.

Where a platform-generated parent account has subsidiary-specific child accounts, GATHER.nexus creates one child account for each subsidiary. If the number of subsidiaries changes, the child accounts are updated to match.

These subsidiary-specific accounts are part of the group reporting structure. They are not created in the subsidiaries' own QuickBooks Online or Xero books.


Profit & Loss

The platform-generated Profit & Loss accounts include:

  • Profit Attribute to Minority Interest

    • One child account per subsidiary, where applicable.

  • Total

  • Profit excluding minority


Balance Sheet

The platform-generated Balance Sheet accounts include:

  • Investment in Subsidiary

  • Goodwill

    • One child account per subsidiary, where applicable.

  • Total Goodwill

  • Equity attributable to the minority

    • Child accounts per subsidiary, where applicable.

    • Total

  • NCI Acquisition Reserve, when any subsidiary has a step acquisition or disposal.

  • Capital Gain on Bargain Purchase, when goodwill is negative for any subsidiary.

  • FX in reserves, when a subsidiary's currency differs from the group currency.


Capital Gain on Bargain & Purchase

Capital Gain on bargain & purchase is a platform-generated Balance Sheet account.

GATHER.nexus creates this account when goodwill is negative for a subsidiary.

The account is part of the consolidation structure and is populated through the consolidation process.


Mapping Platform-Generated Accounts

The platform-generated accounts appear in the mapping screen alongside the other GRT accounts.

Do not map source-company accounts to these platform-generated accounts. GATHER.nexus populates them through its consolidation calculations and journals.

For Goodwill, no source-company account needs to be mapped. The platform calculates Goodwill as part of the consolidation process.

For Investment in Subsidiary, map the relevant investment account from the holding company's Chart of Accounts to the Investment in Subsidiary GRT account. This is the source account used for the holding company's investment in the subsidiary.

Tip: Map source-company accounts to the appropriate normal GRT reporting accounts. Leave platform-generated consolidation accounts to GATHER.nexus.


FX in Reserves

When a subsidiary reports in a currency other than the group currency, GATHER.nexus creates FX in reserves accounts to capture the applicable foreign-exchange differences.

The platform creates:

  • An FX in reserves parent account.

  • Child accounts for applicable equity elements that can carry an exchange difference.

  • A Total account.

An FX in reserves (Purchase Consideration) account is created when the purchase consideration is in a currency other than the group currency.

Step-acquisition-related FX accounts are created when a step acquisition or disposal exists.

The Capital Gain FX account is created when goodwill is negative.


Complete the AI Mapping

After reviewing the AI suggestions:

  1. Apply the appropriate mappings.

  2. Review the mapping status.

  3. Identify any remaining unmapped source accounts.

  4. Complete any remaining mappings manually where required.

AI suggestions should be reviewed before they are applied.
