This guide covers the essentials of viewing, updating, reverting, and uploading Manual FX rates in GATHER.nexus. Manual FX allows authorised users to override the system-synced exchange rate used for Working Papers and Reports, without changing the underlying accounting records.
1) Setup Checklist
Before managing Manual FX rates, make sure:
You have the required Manual FX permission.
Your GATHER account has a defined base currency.
The companies in the account use the currencies for which you need to manage rates.
You are working with a past or current month. Future months cannot be edited or uploaded.
2) Accessing the Manual FX Interface
Go to Multi Entity > Manual FX.
The page displays the account's base currency at the top.
The page then lists the currency pairs used across the account, based on the base currency.
For example, if the account's base currency is USD and the companies use GBP, INR, and AUD, the available pairs will be:
USD > GBP
USD > INR
USD > AUD
Only base-to-used-currency pairs are displayed. Reverse pairs and cross-currency pairs are not shown.
The page also includes:
Year selector
Monthly Average / Month-End rate-type toggle
Monthly rate cells for each currency pair
3) Understanding the Rate Types
GATHER uses two separate FX rate types:
Monthly Average – used to translate the Profit & Loss.
Month-End – used to translate the Balance Sheet.
These rate types are managed independently.
For example:
Updating a Monthly Average rate affects the Profit & Loss, as well as reports that read the P&L, including Comparison and Budget vs Actual.
Updating a Month-End rate affects the Balance Sheet.
Changing one rate type does not change or overwrite the other.
4) Editing a Manual FX Rate
Select the required Year.
Select the required rate type:
Monthly Average, or
Month-End.
Locate the required currency pair.
Select an editable monthly rate cell.
Enter the required FX rate.
Save the changes.
Only months up to and including the current month can be edited in the current year.
Past years: all twelve months are editable.
Current year: the current month and previous months are editable.
Future months: locked and read-only.
Future years: all months are locked.
5) Identifying Manual Rates
When a rate has been manually changed:
The rate is visually marked as a manual override.
The original synced rate remains visible.
The original synced value is not replaced or lost.
The page shows a count of the current overrides for the selected year and rate type.
This makes it clear which rates are using a manually entered value and which are still using the system rate.
6) Reverting a Manual FX Rate
A manual override can be reverted to the original synced rate.
Locate the manually edited rate.
Select the Revert action for that rate.
The original synced rate is restored.
The manual override indicator is removed.
The original synced rate remains retrievable even after multiple edits or a bulk upload. After reverting, reports use the system-synced rate again.
7) Bulk Uploading Manual FX Rates
For each currency pair, you can use a sample sheet to update multiple months at once.
Select the required currency pair.
Download the sample sheet.
Complete the required rates in the downloaded file.
Upload the completed file.
GATHER validates the file before applying the changes.
Uploaded rates follow the same rules as manually entered rates:
They are treated as manual overrides.
They can be reverted.
Only editable past and current months are applied.
Future-month values in the uploaded file are ignored.
Tip: The sample sheet contains the current rates for the selected currency pair and provides the expected format for the upload.
8) Where Manual FX Rates Apply
Manual FX overrides are used when preparing and viewing:
Consolidation Working Papers
Profit & Loss
Balance Sheet
Comparison Reports
Budget vs Actual reports that read the P&L
Where a manual override exists for a specific currency pair, month, and rate type, that manual rate is used.
Where no manual override exists, the synced FX rate remains the fallback.
9) Important Notes
Manual FX is for display and calculation only.
Applying a Manual FX rate does not create a journal.
It does not change the ledger.
It does not overwrite the underlying system FX rate table.
A period lock is not required.
Reconciliation and Recharge are not affected.
Manual FX does not apply to Shareholding and Acquisition mid-month NCI calculations.
Future rates cannot be edited, uploaded, or added.
Note: Manual FX rates are managed independently for each organisation (tenant). A change made in one tenant does not affect another tenant.
