Consolidation Completion Sign-Off

Completion sign-off locks a consolidation period, secures the audit trail, and ensures reports follow the correct frequency rules.


Completion Workflow

1. Check status

  • Grey = editable / incomplete

  • Green ✓ = completed & locked

  • Yellow = informational notice (e.g., quarter-level completion while months remain open)

  • Use the period list (monthly/quarterly/annual) to see which periods are open or closed before taking action.

2. Initiate completion

  • Open the action menu (three dots) for the chosen period.

  • Select Mark as Completed.

3. Execute sign-off

  • Confirm the action.

  • The system locks the period and records the approver + timestamp.

  • Status turns Green ✓ and no new journals can be posted (unless permissions allow exceptions).

4. If you need to reverse

  • Select Mark as Incomplete (if permissions allow).

  • This reopens the period and removes the lock.

  • The audit log retains both the original sign-off and the reversal.

What Changes Immediately

  • Journals – No new entries can be created in closed periods.

  • Audit Trail – Timestamp and user signature added.

  • Reports – Completion status shown in headers and footnotes.

Frequency Logic & Cascading

Cascading rules:

  • Monthly → Quarterly: Completing 3 consecutive months auto-completes the quarter.

  • Monthly → Semi-Annual: Completing 6 consecutive months auto-completes the half-year.

  • Monthly → Annual: Completing 12 consecutive months auto-completes the year.

  • Quarterly → Annual: Completing 4 quarters auto-completes the year.

  • Higher → Lower: Marking a quarter complete does not auto-close its months (they remain editable).

  • Lower → Higher: Completing all underlying months auto-closes the quarter/half/year.

Example:

  • Jan–Mar completed individually → Q1 auto-completed.

  • Apr–Jun not yet complete → H1 and Year remain open.

Mixed frequency scenarios:

  • Monthly-first: Complete Jan, Feb, Mar → system auto-marks Q1 complete (months show green).

  • Quarterly-first: Mark Q2 complete → Q2 locks, but Apr/May/Jun may remain editable.

  • Switching frequency: If a quarter was completed under quarterly view, switching later to monthly view keeps that quarter locked while months retain their previous status until explicitly completed.
