A step-by-step guide to expanding and collapsing manual journals by period in Working Papers, allowing you to review individual journal adjustments without expanding every period.
1) Navigate to Working Papers
From Group Financial Reporting, go to Working Papers.
Open the relevant Complete Consolidation.
Select the required Group and Financial Year.
Select either the Profit & Loss or Balance Sheet tab.
The account grid displays the periods for the selected financial year.
2) Review the Journal Count
Each period can contain one or more manual journals.
Where manual journals exist, a journal-count badge is shown next to the period, for example:
1 Journal »
3 Journals »
The number shows the number of manual journals posted for that period.
The journal count updates automatically when journals are:
Added.
Made inactive.
Reactivated.
A period with no manual journals does not display a journal-count badge.
3) Review the Collapsed View
Periods are collapsed by default.
When a period is collapsed, the Working Paper shows:
Aggregated - the combined figure for the account and period before the individual journal adjustments are displayed.
Consolidated - the final consolidated figure after all journals and adjustments are applied.
The individual Debit and Credit amounts for each manual journal are not displayed while the period is collapsed.
Keeping periods collapsed makes the Working Paper easier to review across multiple months without excessive horizontal scrolling.
4) Expand a Period
To review the individual journals for a specific period:
Locate the period you want to review, for example Feb - 2024.
Click the journal-count badge next to the period, for example 3 Journals ».
The period expands to display the individual journals.
The expanded period inserts a Debit and Credit column pair for each manual journal between the Aggregated and Consolidated columns.
Each journal is normally labelled using its narration or description. Where no narration has been entered, the column is labelled Journal.
5) Review Individual Journals
Once a period is expanded, you can:
Review the individual Debit and Credit amounts for each journal.
Identify which journal is responsible for a particular adjustment.
Depending on your permissions, edit or save a journal.
Mark a journal as inactive or reactivate it using the actions available in the journal column header.
The expanded view provides the journal-level detail behind the period's aggregated and consolidated figures.
6) Collapse a Period
Once you have finished reviewing the individual journals:
Click the same journal-count badge again.
The journal columns are hidden.
The period returns to showing only the Aggregated and Consolidated columns.
Each period can be expanded or collapsed independently. For example, you can expand February while leaving January and March collapsed.
7) Review Specific Periods
You do not need to expand every period to review journal detail.
Expand only the period you need to investigate when:
Reviewing a discrepancy.
Checking the entries for a particular month.
Identifying the journal responsible for an adjustment.
Managing an individual journal.
This keeps the Working Paper easier to navigate while still providing access to the detailed journal information when required.
8) Understand the Other Working Paper Controls
The Expand Journals control is separate from the other display controls available in Working Papers.
Full Screen affects the whole screen and provides more space for the Working Paper grid.
Expand Journals affects one period and displays the individual journal Debit and Credit columns for that period.
The Aggregated column toggle affects the companies included within the Aggregated figure and can display a breakdown by originating ERP company, where applicable.
These controls can be used together. For example, you can use Full Screen and then expand only the periods where you need to review individual journals.
