How to Use the AR & AP Report

The AR & AP Report gives you a single view of outstanding customer invoices and supplier bills across your connected companies in GATHER.nexus. You can review balances in one currency, identify overdue amounts, and switch between different views to understand what your group is owed and what it needs to pay.

1) Open the Report

  • Go to the GATHER.nexus dashboard.

  • Open AR & AP Reports.

  • The AR & AP Report opens with the available filters, summary figures, charts, and outstanding balances.

The report updates automatically whenever you change a filter. There is no separate button to run the report.

2) Choose Receivables or Payables

Use the report toggle to choose what you want to review.

  • Receivables (AR): Money your customers still owe you from unpaid sales invoices.

  • Payables (AP): Money your business still owes suppliers for unpaid bills.

When you switch between the two, the report updates its labels accordingly. Customers and invoices are shown for Receivables, while suppliers and bills are shown for Payables.

3) Select the Group and Companies

Choose the companies you want to include in the report.

  • Group: Select a Group to include all companies belonging to it.

  • Group Class: Select a Group Class to include the relevant companies.

  • Companies: Select or deselect individual companies to refine your selection.

The report displays the outstanding invoices or bills belonging to the selected companies. The totals update automatically when your selection changes.

4) Choose the Reporting Currency

Select the currency you want to use for the report.

All amounts in the summary figures, charts, tables, and detail panels are converted into the selected currency, making it easier to review balances across companies that use different currencies.

Where applicable, the original transaction amount and its converted amount are both displayed when you open an invoice or bill.

5) Choose the Reporting Date

Select the date you want to review the outstanding balances as of.

This determines the date used to calculate how overdue each invoice or bill is.

For example, if you want to review outstanding balances as of 30 September, select that date to see the position at that point in time.

6) Choose How Items Are Aged

You can choose whether the report measures outstanding invoices and bills from:

  • Due Date: Shows how early or late a payment is relative to its due date. This is the default option.

  • Invoice Date: Shows how long ago an invoice or bill was issued.

You can also customise the ageing bands using:

  • Bucket Size: Choose 30, 60, or 90 days.

  • Number of Periods: Choose 3, 4, or 5 ageing periods.

The report includes a Current band for items that are not yet overdue and an Older band for items beyond the selected ageing periods.

For example, with 30-day buckets and 3 periods, the report shows Current, 1–30 days, 31–60 days, 61–90 days, and Older.

You can hover over an ageing band heading to see the calendar dates covered by that band.

7) Review the Outstanding Balances

Once your filters are selected, review the summary figures, charts, and tables to understand your group's financial position.

You can switch between By Company, By Party, and Detail to view the same outstanding balances from different perspectives.

Important Notes

  • The report displays information from your connected QuickBooks Online and Xero companies. It does not make changes to invoices or bills.

  • Payments and credit notes recorded in your accounting system are reflected in the outstanding balances.

  • The report includes open invoices and bills even when the other party is another company within your group.
